On today’s episode of the Customer Success Stories Series, our team spoke to Wolf Lake HOA‘s manager, Jane Galownia, about how our software has worked for them since 2019.

Who is Wolf Lake HOA?
Wolf Lake HOA is a neighborhood of 184 homes located in New Albany, Southern Indiana. This neighborhood features tree-lined streets and a private lake home to a wide variety of local wildlife.
Their Main Challenge
Before we started using Neigbrs by Vinteum, we didn’t have a website. We struggled to communicate with homeowners and lacked the means to reserve the clubhouse.
Current Solution: Neigbrs by Vinteum
With Neigbrs by Vinteum, we have an event calendar where residents can reserve the clubhouse for parties. I can easily communicate with residents and send documents as well. Finally, we also have the ability to customize surveys.
The Results and Impacts
Communication has improved since we switched. We now have an easy way for homeowners to reserve the clubhouse. The staff at Neigbrs have always been very patient and informative in answering my questions. I really like how easy it is to reach out and get answers to my questions. The Administrator’s Manual, which was provided to me, has been very helpful, with step-by-step instructions and screenshots.
After talking to the treasurer about how many people are using Neigbrs, I found out through a video that you made that I can see how many people read notices. I saw that 74% of residents had read it.
The Community’s Preferred Features
In our interview, Jane talks about the platform’s most used features: notices, the calendar, and surveys.
Notices
Notices is our email feature. You can use it to post notices to the Neigbrs by the Vinteum portal and app, and it will send an email to residents and board members.
You can then do what Jane mentioned: check to see how many people have opened the email.
The Benefits of Using the Notices Feature
Email is one of the best communication tools that you have to keep residents in the loop about what’s going on. When using notices, you have email communication centralized in one place, with statistics showing how many people are opening your emails.
Events Calendar
The events calendar is a tool you can use to share what’s happening in your community association.
So if you have regular classes, meetings, or maintenance, you can post them to the calendar so that residents can see what is happening.
The Benefits of Using the Event Calendar Feature
An events calendar is a great way to improve engagement and to be more transparent with residents about what’s happening. It also helps to organize what is happening and have it laid out clearly.
Surveys
Our survey feature allows boards to gather their members’ opinions on issues. You can choose who can participate, whether they have multiple-choice or single-choice answers, and whether they have an open-textbox.
The Benefits of Using the Surveys Feature
Surveys help the board to understand how residents feel about an issue that affects them. This increases engagement and participation among HOA and Condo members in running their community associations.
Frequently Asked Questions (FAQ)
How to manage community events?
The Wolf Lake board uses an event calendar feature to handle community activities. This tool allows residents to view upcoming meetings, classes, and maintenance schedules in a single, clear layout. Additionally, homeowners can use the platform to reserve the community clubhouse for private parties, making the process transparent and easy for everyone.
Can you track how many residents read community notices?
Yes. The board has direct visibility into resident engagement through the platform’s communication statistics. In one instance, the board observed that 74% of residents had read a specific notice. This feature helps the board confirm that important updates reach the community and identifies if they need to try different outreach methods.
How to get feedback from residents?
Wolf Lake uses customizable surveys to gather homeowner input on community issues. These surveys help the board understand resident sentiment before major decisions, thereby increasing overall participation in the association.
Wrapping Up On This Customer Success Story
