What is Vinteum’s White-Glove Onboarding?

When you sign up to Neigbrs by Vinteum, we provide you with our special Vinteum white-glove onboarding to smooth the transition period and provide you with the training to help you use the system to its full potential. 

But what exactly is onboarding? In this article, we’re going to examine what onboarding is, what Vinteum provides, and why it makes a difference.

What is onboarding?

Onboarding started out as a management jargon for the process of training new employees. However, it’s now used for any training process, and for welcoming people, which helps to build a relationship with them. You’re getting them on board. 

What is Vinteum white-glove onboarding? 

We call our onboarding white-glove because we aim to provide it with excellence and care. We don’t want to provide you with an empty account, so we add all your information for you. So after you and the board vote and decide to move forward with Vinteum, you move from talking to the sales team to customer success.

In customer success, we provide you with 5 simple steps to get you up and running:

1 – Onboarding Form

We will send you our onboarding form, which is where we ask you for all the information that we’re going to upload for you. We require the resident list, documents, and community information to add to your website. 

If you have amenities, assets, assigned parking spots, and common maintenance request topics or violation issues we can add those for you as well. 

2 – Get Your Account Ready

Step two of Vinteum’s white-glove onboarding is to take the information that you have provided, check it, and if we have any questions we’ll call you. If not, we upload it all for you. How long it takes us depends on the size of your community. If your HOA has less than 100 units, then we can get your account ready in 1-3 business days. Between 100-200 units will take 3-5 days, and then 200+ units takes us between 5-7 business days.

But we’ll give you a better timeframe when we know how large your community association is. 

3 – Training Meeting

The next part of Vinteum’s white-glove onboarding is our first training meeting. We can have more than one meeting. On average we do around 3 per community in the first month or two, but this depends on you. 

Our first training meeting is the big one, as you meet your account representative, often for the first time, and we get to know you. We answer any questions you might have and take you through the system. If you’d like, we record the meeting so you can refer back to it. 

Also, this meeting is a great opportunity for you to ask for adjustments to your account. We are happy to make those for you. Otherwise, we can show you how you can make those changes so that you’re happy and comfortable with your new website and portal.

4 – Training Materials

The training materials are just as, if not more, important than the training meeting. We send you the recording of our meeting, an administrator, and the resident manual. These have step-by-step instructions on how to perform tasks in Neigbrs by Vinteum. 

We can also provide you with a video specifically for residents on how to access your new website, portal, and how to use the system. This helps engage residents and get them used to the new software. 

The other helpful resource that we provide is our help center, which also has videos and step-by-step for board members, managers, and residents. 

5 – Invite Residents

The last step in Vinteum’s white-glove onboarding is to invite residents. Once you’re comfortable with the system and it’s set up to your, the board, manager, and maybe even a committee’s satisfaction, it’s time to invite residents.

Inviting residents to Neigbrs by Vinteum is easy, but it does announce the end of the onboarding process and the start of the whole community association’s use of the system. Residents will have a lot of questions, which is why the board and manager need to feel comfortable with the system before inviting them.
